Drip, pods, bean-to-cup, or in-office café? A buyer's guide to office coffee — and where BrewBird fits

If you manage an office coffee program, you're usually choosing between familiar options: batch drip, pre-ground pods (Nespresso or Keurig), a bean-to-cup machine (e.g., Jura), or a full-on in-office café–or all of the above. Batch drip: cheap per pot, expensive per cup

The catch: Brewed coffee quality starts dropping about 30 minutes after brewing, so you're constantly choosing between stale coffee and wasted coffee. Single-serve, pre-ground pods: convenient, but low quality, forgettable

The appeal: The single-serve format prevents waste, and there's low service required, since everyone brews on demand. Best for small offices with light, spread-out demand and lower ambitions for coffee as a perk.

The catch: You pay a premium per cup for mediocre, pre-ground coffee that’s lost most of its aromas, and pods head to landfill. Microplastics and foil are also an issue. Most of all, aside from the convenience, it's rarely an experience employees love. 

Bean-to-cup: premium on paper, a service contract in practice

The appeal: Freshly ground beans, café-style drinks. Best for offices with the budget and patience to manage a high-touch machine, or an on-site operator to run it.

The catch: These are complex machines with grinders, recipes, and (often) milk systems — and complexity breaks. Service calls are frequent, outages can run for long periods, and equipment plus maintenance make it expensive. When the machine is down, your premium program is a hand-written "out of order" sign. Cleaning milk and powder components add to labor and complexity. Basic and lower quality coffee options.

In-office barista: the gold standard, at a gold price

The appeal: Nothing beats it for experience: handcrafted drinks, a human touch, and a café vibe that makes the office feel like a destination. Best for fagship headquarters with the budget to treat coffee as a hospitality function.

The catch: It's expensive. Between wages, staffing coverage, equipment, and management overhead, you're often paying six figures a year to serve one location during limited hours, and it doesn't scale well past the building it's in. Long lines can create a flow problem leading to employee dissatisfaction and complaints.
